What are the billing codes?

What’s the indirect pay rate?

  • RBTs: $20/hour
  • BCBAs: $40/hour

What’s the mileage rate?

$.725 per mile — client-to-client only. Not reimbursed for home-to-work.

When is payday?

Bi-weekly on Fridays via direct deposit through ADP.

What’s the monthly supply allowance?

$25/month for toys, games, cleaning supplies. Can roll over to next month.


Sessions

How early should I arrive?

5 minutes before scheduled session start time.

What if I’m running late?

If more than 5 minutes late, immediately notify your BCBA and the client’s family with your expected arrival time.

When are session notes due?

Same day — finalize in HiRasmus before leaving the client’s location.

Do I need to send a team update after sessions?

Yes — send audio or video message via Teams to your Hive team. Keep it under 5 minutes.

What if the client is sick?

If client, caregiver, or sibling shows sick symptoms, you can cancel and reschedule. Parents must cancel if anyone in household is sick or has a fever.

What’s the no-show fee?

$50 charged to parents for no-shows and late cancellations (<1 hour notice).

How long do I wait for a no-show?

15 minutes. Call the parents. If no contact after 15 min, you may leave. Add 15-min indirect appointment in Aloha.


Time Off & Sick Leave

How much sick time do I earn?

1 hour per 30 hours worked. Check your ADP for current balance.

How do I call in sick?

  1. Message Admin (Kayla & Louise) + BCBA in Teams
  2. Let families know and offer makeup
  3. Update your Aloha schedule

Should I work if I’m sick?

How do I request vacation?

  1. Email adminbee@beehaveserviceteam.com at least 2 weeks in advance
  2. Discuss with your BCBA
  3. After approval, notify families and update Aloha

Professional Standards

What should I wear?

  • Comfortable, professional attire
  • Closed-toe shoes required
  • No loose jewelry
  • Follow school dress code if working in schools

Can I use my phone during sessions?

Data collection only. Use “Do Not Disturb” mode. No personal electronics.

Can I be friends with client families on social media?

No. No social media connections, no babysitting, no attending family events.

How quickly should I respond to messages?

Within 24 hours (1 business day).


Compliance

Am I a mandated reporter?

Yes. All staff must report suspected abuse or neglect immediately.

Who do I contact for suspected abuse?

  1. Your BCBA and Admin (Kayla & Louise) immediately
  2. Child Protective Services: 1-800-207-4464

Can I transport clients in my car?

No. Never transport clients in your personal vehicle.

What info can I put in Teams?

No client names — use initials only. No personal client information (HIPAA).


Benefits & HR

When am I eligible for health insurance?

After 3 months of employment with minimum 20 hours/week.

What’s chronic tardiness?

3+ times late (5-15 min) within 30 days = disciplinary action.

How many same-day cancellations are allowed?

3 within a 6-month period before write-up. 4th occurrence = written warning.
