Emergency Procedures
This SOP covers emergency response procedures for various situations during therapy sessions.
General Principles
- Client safety is the priority
- Call 911 for any life-threatening emergency
- Notify Bee-Have leadership as soon as safely possible
- Document the incident thoroughly
Medical Emergencies
Immediate Response
- Ensure scene safety
- Call 911 if needed
- Provide basic first aid if trained
- Stay with the client until help arrives
- Notify parent/caregiver immediately
After Emergency Responders Arrive
- Provide relevant information to responders
- Follow their instructions
- Contact your BCBA and Admin
- Do not leave until family has support
Documentation
- Record what happened
- Note time, circumstances, actions taken
- Complete incident report
- Notify BCBA and Admin in writing
Injury During Session
At Home
- Assess severity of injury
- Notify parent/caregiver immediately
- Provide appropriate first aid
- Decide with parent if medical attention needed
- Document in session notes
- Report to BCBA
At School
From the RBT School Policy:
“If you witness an incident or injury, notify the teacher immediately. Do not provide consequences or intervene with other students. If your client is injured at school, follow the school’s protocol or crisis procedure.”
- Notify teacher/school staff immediately
- Follow school’s established protocol
- Do not intervene with other students
- Document what occurred
- Report to BCBA and Admin
Behavioral Emergencies
Elopement (Client Running Away)
- Follow client while calling for help
- Do not leave client unsupervised
- Notify parent/caregiver immediately
- If in community, call 911 if needed
- Document incident and contributing factors
Severe Aggression
- Prioritize safety (yours and client’s)
- Remove dangerous objects if possible
- Create space/distance if needed
- Call for backup from parent/caregiver
- Contact BCBA for guidance
- Document incident thoroughly
Self-Injurious Behavior
- Prevent serious injury if safely possible
- Notify parent/caregiver
- Follow behavior intervention plan if one exists
- Contact BCBA
- Document incident
Natural Disasters / Environmental Emergencies
Earthquake
- Drop, Cover, Hold On
- Stay away from windows and heavy objects
- When shaking stops, check for injuries
- Follow family’s evacuation plan if needed
- Contact Admin when safe
Fire
- Alert everyone in the area
- Evacuate following family’s/school’s plan
- Call 911 if fire is not controlled
- Do not re-enter the building
- Contact Admin when safe
Power Outage
- Ensure client safety
- Use phone flashlight if needed
- Decide with parent whether to continue session
- Document if session is cut short
Client Medical Conditions
Know Your Client
- Review any medical conditions before first session
- Understand emergency protocols specific to the client
- Know location of any emergency medications (EpiPen, rescue inhaler)
- Know who to contact in medical emergency
Seizures
- Clear area of dangerous objects
- Do not restrain the person
- Do not put anything in their mouth
- Time the seizure
- Turn on side after seizure ends
- Call 911 if seizure lasts >5 minutes or person doesn’t regain consciousness
Allergic Reaction
- Ask about known allergies at start of service
- If severe reaction occurs, help administer EpiPen if trained and available
- Call 911 immediately for severe reactions
- Monitor breathing until help arrives
Transportation Policy
“We do not use staff vehicles to transport clients.”
- On community outings, do not travel with client in same vehicle
- Meet and/or follow the family to locations
- Never transport a client in your personal vehicle

- BCBA Supervisor — All emergencies
- Admin (Kayla and Louise) — All emergencies

Documentation Requirements
After any emergency:
- Complete session notes with factual account
- Report to BCBA and Admin in writing
- Complete any required incident reports
- Keep copies of all documentation
